Program Manager, Agency Services
This is a full-time, contract position, working 30-40 hours with the possibility of converting to permanent. This position can work from anywhere within the United States and will report directly to the VP of Business Operations.
Job Description:
Hourly Rate: $60/hour
Principle Responsibilities:
- Lead all program management activities and engagement, modeling best practices across a range of clients and Rosies.
- Build strong, sustainable client relationships, ensuring their satisfaction and mutual commitment to partnering with We Are Rosie.
- Manage multiple client engagements and Rosies simultaneously, from initiation to completion.
- Facilitate interviews, ensuring project teams are curated according to client needs.
- Oversee Project preparation, including but not limited to, the setup of project-specific tools and platforms, communication channels, scheduling and facilitating kickoff and ongoing meetings with both the clients and Rosies according to scoped cadence, etc.
- Ensure the successful onboarding, deployment, and ongoing management of Rosies, addressing any performance or engagement issues as they arise.
- Track, analyze, and report weekly project and client status, resource utilization, financials, burn rates against POs, team performance, on-time delivery, etc.
- Quarterly Business Review (QBR) Preparation in collaboration with cross-functional team members.
- Actively manage relationships with Rosie’s placed on projects according to a realistic engagement plan.
- Foster strong, mutually rewarding partnerships between assigned lines of business and We Are Rosie.
- Leverage performance data and resulting insights to proactively identify opportunities and develop strategies that enable growth objectives on behalf of the business and the client.
- Educate clients on the capabilities and service offerings We Are Rosie provides, building confidence in the team’s ability to partner effectively in support of the business.
- Lead and manage the end-to-end process from project brief in-take, Rosie team casting, and knowledge transfer, to effortlessly blend talent and work delivery.
- Effortlessly scope projects in partnership with the Run by Rosie team.
- Collect and document feedback on Rosies’ project performance and identify opportunities for improvement; escalate performance issues that affect the quality, effectiveness, or timeliness of project deliverables.
Key Qualifications:
- Creative Project & Program Management Expertise: Demonstrated experience and knowledge of project and program management principles and methodologies. Proven ability to contribute to the successful execution of internal strategic and client projects, ensuring high-quality delivery of creative projects and exceeding leadership and client expectations. PMI (PMP and CAPM) or project management certifications are a plus.
- Organizational & Operational Excellence: Strong organization and time management skills to effectively handle multiple tasks, projects, and client priorities. Proficiency in meeting deadlines and delivering high-quality work within a fast-paced environment while finding opportunities to increase operational efficiency through continuous improvement.
- People Leadership Skills: Strong leadership skills with a minimum of 3 years of experience managing teams directly or indirectly The candidate should be a team player with a collaborative attitude, able to work effectively within cross-functional teams, and build positive relationships.
- Communication Proficiency: Excellent communication skills with a proven ability to build positive relationships. This includes connecting clients with talent, providing oversight for delivery, and consistently exceeding client expectations.
- Strategic Thinking: Strong strategic thinking and planning skills, with a track record of enhancing the client experience. Note our consultant community members (Rosies) are our clients as well.
- Collaborative Approach: Ability to work collaboratively with other departments and stakeholders. This involves clear articulation of We Are Rosie’s evolving model, value proposition, and processes to cross-departmental leaders.
- Industry Knowledge: Knowledge of marketing/advertising/agency industry trends and best practices, including staffing and account/client management. A keen understanding of the industry landscape will be crucial for success in this role.

Requirements:
- PMI Certification in project management
- Proven Experience in project/PMO management and process improvement in a creative or marketing agency, creative asset management, and/or marketing PMO collaboration.
- Strong organizational and time management skills.
- Excellent communication (written and verbal) and interpersonal skills.
- Proficiency in project management tools and software.
- Ability to analyze data and generate actionable insights.
- Detail-oriented, with a commitment to quality and accuracy.
- Familiarity with quality assurance processes and best practices.
- Strong problem solving and relationship-building skills
- Ability to work independently and as part of a team.
